The German Development Cooperation through GIZ is looking for a Project Events and Administrative Assistant within its „Modernization of local public services in the Republic of Moldova” project.

The Assistant will support the project administration in designing and preparing events, coordinating appropriate teams relevant to the event, draft appropriate documentation, plan preparatory and on-site tasks, manage their implementation, liaise with other actors, ensure appropriate monitoring of progress and of events, identify key lessons for improvement.

The main responsibilities shall include:

§         provide information for experts and visitors, inform them about the status of their agreements, e.g. changes in schedules and other plans, transport services etc.;

§         maintain and update a database of prices, rates and locations of residential areas, houses and apartments to assist seconded staff looking for accommodation;

§         arrange accommodation for arriving visitors, short-term and long-term experts;

§         assist short-term experts with logistical issues (e.g. transport services) during their assignment;

  • schedule, prepare, arrange and coordinate project events;
  • conduct research, make site visits, and find resources to help staff make decisions about assigned events’ possibilities;
  • contribute to the planning, notes taking and verbal translations if required during internal/external appointments and site visits;
  • coordinate transportation services in the field with project administration;
  • assist project administration in preparation of contracts and bank payments;
  • ensure that all event related activities are being performed according to the GIZ rules and regulations.

Required qualifications:

  • Secondary education and certificate in event management or similar area and/or University Degree in Marketing, Communications, Hospitality Management or related field;
  • Completion of third level education (at least 3 years duration);
  • At least 2 years general work experience involving administration, organisation or management;

§         Be a team player, supportive of colleagues and able to ask for support when required;

§         Able to work to deadlines, under stress, and cheerfully;

§         Excellent planner and implementer, capable of withstanding pressure and meeting tight deadlines;

§         Good knowledge of written and oral English and Romanian; Russian or German would be an asset;

  • Ability to interpret, translate in small groups or at small meetings desirable;
  • Excellent computer skills (MS Office, Outlook, Internet and other).
